How SlotPilot handles information

Privacy policy

Last updated: October 13, 2026

This policy describes the information handled by SlotPilot Waitlist and its developer, OLD ADOBE AGATE SC PARTNERS LLC, at 221 MAIN ST, LOS ALTOS, CA 94022, UNITED STATES. Contact us at s18695730175@gmail.com.

1. The business and the app developer

The business operating the Wix site decides why it collects waitlist requests, which services it offers, and how it follows up with customers. SlotPilot provides the software that processes those requests for the business. The developer also handles information needed to operate the app and answer support enquiries. A business's own privacy policy applies to its customer relationship and other information collected on its site.

2. Information processed

A waitlist request can contain a customer's name, email address, phone number, preferred service or staff member, acceptable dates and times, and time zone. SlotPilot also records consent timestamps, whether the customer opted in to opening emails, request status, matching results, and invitation delivery status.

To check openings, SlotPilot processes relevant booking service, calendar, time-slot, and location information from Wix. Its cancellation handler uses service and slot details; it does not copy the canceled customer's contact details into the waitlist. Operational records may include request, booking-event, and email-transmission identifiers. To process a cancellation reliably, the Wix app also keeps a temporary checkpoint containing the installation and event identifiers, service and slot details, processing stage, timestamps, and retry or completion state. It does not copy the canceled customer's name, email address, or phone number into this checkpoint.

If you contact support, we receive the contact information and details you choose to send. Wix and Cloudflare may separately process network and service logs under their own policies.

3. Purposes and customer choices

Submitting a waitlist request and opting in to opening emails are separate choices in the form. Customers can contact the business to withdraw an outstanding request, stop opening emails, or request deletion. An invitation does not reserve a slot or create a booking.

4. Storage and service providers

Waitlist contact information and booking preferences are stored in the site's Wix Data collections. Authorized site administrators can view and manage them in the SlotPilot dashboard. Wix also provides the booking, notification, plan, and email services used by the app.

Cloudflare Workers runs scheduled processing, and Cloudflare D1 stores app installation identifiers, installation or removal timestamps, and operational results. The scheduler does not store waitlist names, email addresses, or phone numbers in D1. Its cancellation-processing and checkpoint-maintenance records contain installation identifiers, scheduling leases, runtime-version bindings, and bounded status or count summaries. The scheduler calls the authenticated Wix app for this processing; cancellation checkpoint contents, invitation offers, duplicate-processing claims, and monthly allowance records remain in Wix. For retention processing, it retrieves request identifiers and the status and date fields needed to decide whether a record is eligible for deletion. Opening-email processing stays within the Wix app.

SlotPilot does not include advertising trackers or use waitlist information for advertising. Wix and Cloudflare may process information across the regions in which they operate. Their policies are available at Wix Privacy Policy and Cloudflare Privacy Policy.

5. Retention and deletion

The app is designed to remove eligible waitlist requests 90 days after they are completed, closed, or expired. For requests without a completion timestamp, a conservative update timestamp is used. Open requests become eligible after their last acceptable date in the customer's time zone, plus 90 days.

Scheduled deletion may be delayed by service availability or access restrictions. Site owners can delete a request and its contact details sooner using the dashboard. Uninstalling the app does not guarantee immediate deletion: Wix may restrict access after removal. Contact the business or the developer for help with an outstanding deletion request.

Cancellation checkpoints that remain unresolved for 24 hours are designed to leave automatic processing once their active processing lease has expired. They are marked for manual review rather than blindly repeating a possibly completed notification. Completed or parked checkpoints become eligible for deletion 90 days after their resolution timestamp. Cleanup is bounded and can require more than one scheduled pass.

Invitation offers, booking-event claims, and monthly allowance records are separate operational records. They may retain request, event, transmission, and slot identifiers after a waitlist request is removed, to preserve delivery history, allowance checks, and protection against duplicate processing. The current cleanup design does not apply the waitlist contact-data deletion rule to all of these records. Contact the developer about an outstanding operational-record deletion request.

App installation records marked as removed are retained for up to 90 days by the scheduler, subject to successful scheduled processing. Completed scheduler-operation records are eligible for removal after 90 days and confirmed app removal. Unresolved or uncertain scheduler outcomes may be retained until they can be reconciled safely; these records do not contain waitlist names, email addresses, or phone numbers. This policy describes SlotPilot's application records; Wix and Cloudflare may retain backups or service logs under their own policies. Support correspondence is retained as needed to resolve and document the enquiry, subject to applicable requirements.

6. Access and security

Access to waitlist data is restricted by Wix collection permissions and the site's administrator access. Scheduled requests use authenticated app access, and installation webhooks are verified with Wix's signature. App credentials are stored as Cloudflare secrets and are not included in public pages or source code. These measures reduce risk, but no online service can guarantee absolute security.

7. Questions and requests

Customers should normally contact the business whose waitlist they joined, because that business manages the request. You can also contact s18695730175@gmail.com with the site or business name and enough information to identify the request. We may need to verify your relationship to the request or refer it to the business. Do not send passwords, payment-card details, or government identification by email.

8. Changes

We may update this policy when the app's practices change. The current version and its update date will be available on this page.
